How to Check Whether a Claimed ISO 9001 Certificate Is Still Valid

A claimed ISO 9001 certificate sits in one of three states: currently valid, once issued but no longer current, or never issued as an accredited certificate. The check is not a gold badge and not a PDF in a chat. It starts with two strings — a certificate number and the name of the certification body — then a read of status and expiry on IAF CertSearch or on that body’s own register. A storefront slogan is none of those three states.

Brazil-bound repair shops, importers, and notebook-parts wholesalers usually meet the slogan as a badge on a product page or as a scanned file. Those surfaces do not show whether the record is Active, whether the date has already passed, or whether a number was ever issued.

What does a storefront ISO slogan fail to prove?

It fails to prove that a unique number exists, that an accredited body issued it, and that the status is still Active. ISO 9001 is the quality-management-system standard of the International Organization for Standardization, written QMS: a documented way a company runs quality, not a stamp on one laptop screen. The edition in force on 3 September 2026 is still ISO 9001:2015. ISO 9001:2026 is scheduled for publication on 16 September 2026 and is not yet the current edition. Certification is optional. It is issued by a certification body, not by ISO. The standard names a management system. It does not name a panel that passed a safety test.

Which two strings start the check?

IAF CertSearch, at iafcertsearch.org, is the International Accreditation Forum’s public database of accredited management-system certificates, including ISO 9001. A buyer can search by organisation name or by certificate number. A usable record shows the legal name, the standard, the status — Active, suspended, withdrawn, or expired — the scope, the sites, the issuing certification body, and the accreditation body. Suggested results can include records that are no longer Active. No hit can mean a non-accredited issuer, a lag in upload, a confidential listing, or a number that was never issued. The next window is the named certification body’s own register. A WhatsApp screenshot is neither window.

The lookup supports a buyer check. It does not set duty or ICMS. ICMS is a Brazilian state tax on goods. An Incoterm is the trade term that names who pays freight and duty, such as FOB or DDP. Neither the register nor the Incoterm prints a tax figure.

How do the three states sit after the lookup?

Currently valid means the number and the body resolve, the legal name and the standard match, the status is Active, and the expiry has not passed. Once issued but no longer current means a record exists with expired, suspended, or withdrawn status, or the date has passed. Never issued as an accredited certificate means there is no number, or the number and the legal name do not resolve on IAF CertSearch or on the named body’s register. A storefront badge sits in that third state until a number appears.

If any of those cells fails, the ISO 9001 sentence is unused. The useful next ask is the operational quality rule the seller actually runs: the OEM specification — the original-equipment maker’s spec for that stock-keeping unit — a named Golden Sample, the buyer-agreed physical reference unit used to accept or reject later pieces of the same SKU, and a lot-level outgoing check.
